Job Overview :
The Associate People Partner will support the People team with coordination and administration relating to the entire HR life cycle.
From involvement with onboarding, off-boarding, resolving day to day HR related queries, payroll, employee relations matters, training & development, exit arrangements, policy drafting and recreation activities.
This role is varied, differing day to day based on the needs of our people, and so a willingness to flex and be available to resolve matters that arise is paramount. As too is a sense of urgency and pace in responding to people when a query arises, with the emphasis on follow up and completion.
The job holder will have access to confidential HR documentation and data and will apply a high level of discretion and professionalism to their work.
Responsibilities & Duties :
Onboarding and Offboarding:
- Administer new starter and employment documentation, acting as first HR contact for candidates.
- Initiate and maintain background verification cases of the new joiners and maintain and share data with the admin team.
- Oversee and trigger all automation required within the HR software that ensures a seamless people experience from offer stage, signing in as a new employee to line manager prompts for probation reviews.
- Drive the onboarding process for new starters, supporting hiring managers with its delivery and ensuring every single new joiner at Contis starts well and is integrated into our teams warmly.
- Ensuring all the on-boarding formalities run smoothly.
- Conducting all the exit formalities from initiating the offboarding form to conducting offboarding interview and maintaining the Global Attrition data.
- Sharing Induction plans of the new joiners with the department heads on monthly basis.
- Maintain new joiners' documentation and employee’s personal files.
- Issuing ID cards to new joiners.
Training, Development & Probation:
- Support L&D initiatives by coordinating arrangements and facilities for training sessions, from location to refreshments, to diary invites for delegates and managing response rates.
- Responsibility for ensuring probation review meetings take place and probation data is captured.
Employee relations:
- Acting as first point of call for any HR-related matters and escalating to the People Ops Manager as appropriate. Drafting administration relating to case management, emailing and posting, and filing as required.
- Attending ER meetings in capacity as note taker. Building knowledge of Contis policies and procedures to answer any internal policy-related question confidently and swiftly to support our people.
- Releasing weekly mailers and communications via people team Id to keep the staff engaged and motivated.
People experience:
- Contribute to idea generation for initiatives that support employee engagement and promote employee welfare activities, and support with coordinating and delivering these.
- Continually improve our rituals and processes to improve on the employee experience; automate repetitive processes and remove clunky bureaucracy.
- Support the organisation of events, collaborations, all-hands meetings and socials.
- Own and maintain organisational charts for India through HRIS and manually.
- Experience working in a HR department, having covered a generalist range of administrative HR topics from starters to leavers.
- Very strong emotional intelligence and empathy
- An excellent communicator, with an ability to adapt style to others
- Empathetic, objective and factual in outlook and approach towards People matters
- Advanced skill levels in Microsoft Office Applications
- Able to work as part of a team and on own initiative, driven and self-motivated in approach
- Strong cross-cultural awareness
